HOLIDAY CLUB

A parent/guardian logs in to their registered account and selects chosen available dates.
Prior to confirming a booking you are shown the total cost of childcare and with payment options.
After you confirm a booking your invoice will be generated detailing your booking and will be displayed in your account awaiting payment. Once paid a receipt is generated.
A booking confirmation, by you, is regarded as acceptance of our childcare Terms and Conditions and Policies.
We ask that you to arrange payment on the day of your booking so that it clears within a reasonable 24 hour period.

If you want to cancel a booking date we will credit your account for the amount paid on the condition that:
• You email us within 24 hours of your original booking date.
• Your child's club year group has not closed on your original booking date at the time of your request.
Outside of these terms (24 hour period) any original booking date remains as chosen by you and you only have option to change a booking date as detailed in term 1.3.
We can change a booked date within the same holiday period providing:
• You give us 5 days (weekends included) email notice.
• We have availability, in the same holiday period, on your new requested date.
• Your child's club year group has not closed on your original booking date at the time of your request. If it has closed then we can not move a booking.
For the avoidance of doubt below are our holiday periods. Dates vary each year.
• Autumn half term (October)
• Winter half term (February)
• Easter holidays (March/April)
• Spring half term (May/June)
• Summer (July/August)
Credits must be used within a 12 month period. Credits are non refundable or transferable if not used for any reason.
We do not offer credits for child absences. Examples of absences inc. (this is not an exhausted list)
• Cancellation
• Sickness
• Rearranged plans
• Child exclusions
KIDACTIVE refund any booking amount if we are forced to close due to:
• Excessive staff sickness meaning we are unable to meet supervision ratios.
• Facilities becoming unavailable, for any reason out of our control.
• By order of Government, Local Authority or Environmental Health.
• If a payment is made into our account by you accidently this will be refunded, minus £10 administration charges. It is the payees responsibility to contact us (email) with details. A refund will be completed within our earliest opportunity but please allow up to 28 days.

• Cancellation

We have the right to cancel/refuse booked childcare (without refund) if:
• We deem a child unsuitable to attend, for any reasonable reason.
• A parent(s)/guardian(s) behaves unreasonably towards our staff, either in person, on the phone or in writing.
As the needs of each child varies the Manager will assess a child in consultation with staff and parent/guardian on a case-by-case basis, depending on;
• Level of support a child requires.
• Qualification/experience of our staff.
• Suitability of our environments.
• Activities we deliver.
• Group ratios (we do not offer 1:1 care).

SEN Refund policy
If you make a booking without providing us with full details of your child’s needs, and this information is only brought to our full attention once a child has started childcare, and we believe that we are unable to meet your child's needs, we have the right to cancel your booking without refunding any unused dates.
Early versus Standard
Early price = book 21+ days in advance of childcare date. Standard price = book inside 21 days of selected childcare date.
Discounts
We offer a discount if a parent/guardian (responsible for the child) works for NHS or University of Oxford. If this applies use the code displayed in your account.
Abuse of discount code
If it is discovered that you are using a discount code without qualifying, your account may be deleted with us.
